🎯 Mission & Core Purpose
We are looking for a Senior HR Specialist to become the heartbeat of our internal team experience. Your mission is to own and continually improve the HR and workplace experience processes that keep iubenda running smoothly. You’ll ensure that every touchpoint - onboarding, documentation, workplace operations, internal processes - is consistent, reliable, and aligned with our culture and values.
This role blends hands-on execution with process ownership. It’s ideal for someone who thrives in structure, enjoys improving how things work, and creates a seamless experience for employees across a distributed environment. You will report to our HR Operations Manager and will work closely with HR Ops, Finance, and Legal to evolve our people systems, workplace experience, and operational excellence.
💼 Key Responsibilities
- People Operations & Employee Lifecycle Ownership
Own the full employee lifecycle end-to-end, including onboarding, offboarding, documentation, contracts, HR data management, and compliance;
Manage personnel administration processes such as attendance, leaves, and reporting obligations, ensuring accuracy and consistency;
Coordinate with our payroll provider and internal stakeholders to support accurate monthly payroll processing;
Maintain, monitor, and improve HRIS workflows and People documentation, ensuring data integrity and operational reliability;
Support employee relations with confidentiality, clarity, empathy, and a solutions-oriented mindset;
Partner with the Director of People Operations to update and implement HR policies and people operations processes.
- Onboarding & Offboarding Execution and Excellence
Lead operational onboarding by preparing plans, collecting documentation, and coordinating equipment and access with IT and Facilities/Workplace stakeholders;
Conduct orientation sessions to reinforce culture, tools, and ways of working;
Monitor early integration and collect feedback to continuously improve the onboarding journey;
Lead offboarding operations, including documentation, employee communications, exit interviews, equipment recovery, and access deactivation.
- Workplace Experience & Office Operations (Milan/Bologna)
Support the operational execution of workplace services and external suppliers (cleaning, maintenance, security, etc.), ensuring service quality and consistency;
Contribute to workplace efficiency, safety, and employee well-being initiatives in collaboration with internal partners and HSE/RSPP;
Provide structured coordination and operational support to facility contributors to ensure smooth day-to-day execution across offices;
- Internal Communications & People Documentation
Draft and share clear, structured internal communications related to HR processes, policy updates, and organizational changes;
Maintain and evolve People Operations documentation, templates, and wiki content to ensure clarity and ease of access for the company;
Support communication consistency across the People team, helping employees navigate processes smoothly.
- Culture & Employee Experience Support
Support initiatives that foster belonging, recognition, and team connection across a distributed environment;
Help coordinate (when needed) team moments such as virtual events, workshops, retreats, and off-sites to strengthen culture and engagement;
Ensure employee experience touchpoints reflect iubenda’s values and deliver a consistent, thoughtful experience.
💡 Experience & Skills
At least 4 years of experience HR;
Fundamentals of labour law and payroll regulations;
Solid experience with HRIS tools (e.g., Bob, or similar);
Advanced Excel skills (ideally able to manage pivot tables and macros) and a strong data-oriented mindset;
Full professional proficiency in English;
Highly organised, detail-oriented, proactive, and confident in owning processes end-to-end;
Able to communicate with clarity and empathy, thrive in structured environments, and genuinely care about creating an excellent employee experience;
Comfortable balancing hands-on execution with continuous improvement, and motivated by making things work better for both people and the business.
🌐 Location
At iubenda we believe in remote-first work. While you can work from anywhere in Mauritius, we encourage regular in-person collaboration at our Port Louis office, typically once per week.
This role involves working with the team on CET hours, meaning your schedule will align with this time zone to ensure smooth collaboration.
